Pickup Availability: Let Buyers Book a Time

Set pickup hours and pickup spots so buyers can book a 30-minute window after checkout

Written by Austin Headley

Let Buyers Book a Pickup Time on Your Schedule

Pickup availability lets you publish the times you're open for in-person handoffs. Buyers complete checkout first, then pick a 30-minute window from your weekly hours. If you offer more than one pickup spot, they also choose the spot that works for them.

Set this up in My Shop > Availability and manage pickup spots from My Shop > Settings > Pickup spots.

When to Use This

This is for sellers who want to offer in-person pickup but are tired of negotiating times in chat. It works well alongside courier delivery, not instead of it. Buyers see whichever options you've enabled at checkout: courier, in-person pickup, or both.

If you'd rather coordinate every meetup by message, you can still do that. This feature is optional.

Set Your Weekly Availability

Your availability is a recurring weekly template. Block out the 30-minute slots you're open across a typical week, and the same pattern repeats every week until you change it.

Step 1: Set Your Pickup Spots

Buyers need to know where they're heading. Your registered address can be available as a pickup option, and you can also enable police safe-trade zones or add your own public pickup spots.

Open My Shop > Settings > Pickup spots to choose the defaults for new listings. Public spots include a Google Maps action so you and the buyer can check the location.

Existing listings keep the pickup spots that were saved with that listing. To refresh an existing listing, edit it and use Pull latest from settings in the pickup spots section.

Step 2: Pick Your Open Slots

Scroll to Your availability and tap the 30-minute slots you want to offer across the week. Open slots highlight; tap again to remove them.

Tips for setting good slots:

  • Be realistic. If you don't actually want a buyer at your door at 9 PM on a Wednesday, don't open that slot.

  • Group similar times. Two or three pickup-friendly windows per day work better than scattered single slots.

  • Leave buffer. A 30-minute slot back-to-back with another one means you're handing off to two buyers in one hour. That's fine if you're set up for it. Just choose with intent.

The schedule saves automatically as you tap.

Step 3: Save and You're Done

Once you've set your slots and pickup spots, your listings can offer in-person pickup at checkout. Buyers see only the windows you've opened and the pickup spots saved on that listing.

Connect Google Calendar (Optional)

Connecting Google Calendar adds two things on top of your weekly template:

Auto-blocking. When you have something on your real calendar (a meeting, a school pickup, a dentist appointment), that slot automatically hides from buyers, even if you'd marked it open in your weekly template.

Bookings on your calendar. Confirmed pickups land in a new calendar called ShopBroker Calendar in your Google account, so you can see them in Google Calendar, on your phone, or wherever you check your schedule.

To connect, open Calendar sync in the Availability section and tap Connect Google Calendar. You'll go through Google's standard sign-in and consent screen.

What We Can and Can't See

This is the part to read carefully. We only request two narrow scopes:

  • Free/busy access. We can tell whether a slot is busy or free. We cannot see event titles, descriptions, attendees, or notes. If you have a 2 PM event called "Therapy" or "Job interview" or "Lunch with Amir," we see only that 2 PM is busy.

  • Write access for events we create. We can add and remove events on the ShopBroker Calendar we create. We cannot touch your primary calendar or any other calendar in your account.

In short: we see when you're busy, never what you're busy with. Your personal calendar stays private.

Choosing Which Calendars Feed the Busy Check

After you connect, you'll see a picker that lists every calendar in your Google account. Tick the ones you want us to read for busy-time blocking. Most sellers use their primary calendar; some also tick a partner's shared calendar or a work calendar.

Save with nothing selected if you only want the weekly template to drive availability and prefer Google Calendar just for landing the booking events.

Disconnecting

Want to disconnect? Tap Disconnect in the connected card and confirm. We'll remove the ShopBroker Calendar from your Google account, including any future bookings sitting on it. Your weekly availability template stays saved, so buyers can still book through the template alone.

What Happens When a Buyer Books

Here's the full flow once a buyer chooses in-person pickup at checkout:

Payment is secured. They complete checkout. Funds are held until the pickup is complete.

Buyer picks a slot and pickup spot. They see only your open 30-minute windows and the pickup spots saved on that listing.

You get notified. Email and in-app notification. The booking shows up in your transaction list.

The booking lands on your calendar. If you've connected Google Calendar, it's in the ShopBroker Calendar already. Either way, the buyer also gets an "Add to Calendar" button (Google, Outlook, Yahoo) in their confirmation.

You meet up. Show up at the address and time. Hand over the item. Take a few minutes to let the buyer inspect it.

The buyer confirms receipt. They open the order and tap Pay Seller. Funds are released to your payout account.

For status meanings at each step, see Transaction Statuses Explained.

Handling Changes

Plans shift. Here's how to deal with the common ones.

Buyer No-Show

Wait 10-15 minutes past the slot start, then use the Message Buyer button on the transaction page to check in. If they don't respond:

  • Document the attempt with a screenshot of the message

  • Contact support if no response within a day

  • The payment hold stays active for a limited window, so a reschedule is still possible if they reach out quickly

Buyer Wants to Reschedule

If a buyer messages asking to move the pickup, the simplest path is to coordinate a new time directly through the Message Buyer thread and meet then. The original booking event stays on your calendar as a placeholder. You don't need to cancel and rebook unless either of you wants the calendar tidy.

You Need to Cancel

If you can't make a booking, cancel the order from your transaction page as soon as possible:

  • Use the cancel option on the transaction page

  • Send the buyer a quick message via Message Buyer to explain

  • The payment hold is released back to the buyer's payment method

The booking event is removed from your ShopBroker Calendar automatically when you cancel.

You Need to Block a Slot Last-Minute

If something comes up and you need to take an open slot off the table for one week only, the cleanest move is to add a busy event to your connected Google Calendar at that time. The slot auto-hides from new bookings within a few minutes.

If you're not connected to Google Calendar, you can edit your weekly template to remove the slot. Just remember the change is permanent until you put the slot back.

Common Questions

Why is a slot blocked when I'm actually free?

Two likely reasons:

Google Calendar shows you busy at that time. Open Google Calendar and check the same date and time. If there's an event there (even an all-day one or a tentative one), that's the conflict. Either delete or change the event, or pick a different slot in your template.

You already have a ShopBroker booking in that slot. Each 30-minute window can host one pickup. Once a buyer books it, the slot is locked.

Does my weekly template repeat forever?

Yes. The template is recurring. The same pattern applies every week until you change it. There's no "set hours for next week only" option right now.

Can I have different hours for different listings?

Not currently. Your weekly availability applies to all your listings that offer in-person pickup. Pickup spots can differ by listing because each listing saves its own pickup spot snapshot. If a listing needs a different schedule, mention it in the listing description and coordinate by message.

What if I don't want to share my address until someone books?

Browsers and casual visitors do not see your exact pickup address. Buyers see the pickup spots available for the listing when they are booking a scheduled pickup after checkout. If you'd rather not use your home address, enable police safe-trade zones or add a public pickup spot in settings, then save those spots on your listing.

Can buyers book outside my open hours?

No. Buyers see a calendar that only contains the slots you've opened. If a slot isn't there, it's not bookable.

What time zone are my hours in?

Your local time zone, based on your account settings. Most current pickups happen between buyers and sellers in the same local market, so both sides usually see the same time.

Do I have to use Google Calendar?

No. Google Calendar sync is optional. The weekly template alone is enough to start accepting bookings. Connect Google Calendar later if you want busy-time auto-blocking and bookings on your phone.

What if a buyer is late?

Same playbook as any in-person pickup: send a friendly message via Message Buyer, wait 10-15 minutes, contact support if the pattern is concerning. See In-Person Pickup Meetups: Best Practices for the full safety rundown.

A Few Things to Keep in Mind

Pickups are not delivered by ShopBroker. When a buyer books a pickup, they're meeting you. Treat it like any in-person meetup: pick a comfortable spot, bring a friend if it helps, and trust your instincts.

Payment protection still applies. Even with the convenience of scheduled pickups, your payment is held until the buyer confirms receipt and taps Pay Seller. Don't accept cash on the side. The whole point is the protection.

Reviews still happen. After the pickup, both you and the buyer can leave a review. Showing up on time and being prepared makes a real difference.
